User Guide
Awards & Recognition PortalHow to use the portal. Scorers see the scoring guide; admins see everything.
1. Getting started
- Open the portal at
awards.consolidationdiscon.org/adminand sign in with the email & password you received. - Change your password anytime under Account & password (bottom of the left menu).
2. Scoring (reviewers)
You only see submissions from the zone(s) assigned to you. If your list is empty, ask an admin to assign your zones or confirm a cycle is running.
Score a submission
- Open the Scoring tab. Each row shows a club, its zone, and whether you have Scored or it is Pending.
- Click Score (or Edit score). A panel lists all sections A–K.
- Enter a number for each section — capped at that section's maximum (shown as
/ 20etc.). Your running total updates as you type. - Click Save score. You can come back and edit until the committee finalises.
Note You cannot see other reviewers' scores — that is by design. In team mode the system averages everyone's scores; in single mode the first reviewer's score stands.
Read a submission & its evidence
- In Submissions, click View to read the club's answers and preview attachments online.
- Use PDF to download the filled form (with a blank score box per section for offline marking) and Files to download all evidence as a ZIP.
3. Admin — running a cycle
- Cycles tab → create a quarter (name, program year, quarter, closing date), then click Open to start accepting nominations. Only one cycle is open at a time.
- Clubs submit at the public site while the cycle is open. Click Close when nominations end; Archive old cycles.
4. Admin — zones & clubs
- Zones tab → create your zones (e.g. Zone 1–6).
- Clubs tab → add clubs one at a time, or open “Add multiple clubs to a zone” to paste a whole list (one per line) into a zone at once. Use the search and zone filter to find clubs; the list is paginated.
- Every club maps to a zone — this is what controls which reviewer sees which submission.
5. Admin — reviewers (Users)
- Users tab → Add a user (scorer or admin). For scorers, tick the zones they cover. They are emailed their sign-in details automatically (if email is configured).
- Edit changes name / email / role; Zones updates a scorer's zones; Reset PW sets a new password; Deactivate blocks access without deleting.
6. Admin — mapping submissions
Older submissions (or ones where a club typed a name that isn't listed) show as Unassigned. In Submissions, tick “Unassigned only”, then use the “Map to club…” dropdown on each row to attach it to a club — that gives it a zone so the right reviewers can see it.
7. Admin — results & downloads
- Results tab → pick a cycle for the leaderboard (average scores per club).
- ↓ Excel = the leaderboard. ↓ Consolidated (per scorer) = every reviewer's individual scores plus the averaged totals.
- Year-end leaderboard → enter a program year to aggregate all its quarters and rank clubs for the year.
8. Admin — settings
- Scoring mode — Single (one reviewer) or Team (average of reviewers).
- Section weights — the maximum points per section; they should total 100.
- Email (SMTP) — set your mail server so the portal can send credentials, submission acknowledgements, and new-nomination alerts. Use Send test email to confirm.
